General Conditions of Use for University Sports programme

Who is allowed to participate?

University sport is first and foremost a service for the students and staff of the Carl von Ossietzky University Oldenburg. University members are all students and employees of the Carl von Ossietzky University Oldenburg and the cooperating universities. Currently, these are the Jade University of Applied Sciences (Oldenburg and Elsfleth), the Rijksuniversiteit Groningen and the University of Bremen.

In addition to students from cooperating universities, however, non-university students can also take part in our offers, provided they are of age and book a course or buy an HSP card or day pass.

Our focus is on recreational sports, where the fun of doing sports, an informal atmosphere and many new offers are central. The sports on offer are intended to motivate everyone to become active in sports. Especially those who previously thought of themselves as unsporty.

We differentiate our offers into open offers and offers that require registration. Open offers are available to students and staff of the University of Oldenburg and the cooperating universities without registration and are usually free of charge. External guests require an HSP card or day ticket to participate (see above).

Please note that registration may be necessary for some free services. For non-university guests, registration and participation is only possible after purchasing a day ticket or HSP card.

You can find an overview of all the activities that university members can use free of charge and guests can use after registering in the timetable for the current period. The timetable is available as a download on our website or in printed form at the office.

You must register before you can take part in any activities that require registration. These activities are subject to a fee. The dates and prices valid for the current period are shown on the website and on our notice boards.


ID cards - user cards

Students and staff identify themselves with their Campus Card or a corresponding ID card. External guests need an HSP card or day ticket or the confirmation of registration for their course.

If you wish to take part in courses that require registration, you will receive a written confirmation of registration after registering. Please always bring this with you to the course!

 

Registration procedure

You can register for all courses that require registration on our website (https://uol.de/hochschulsport) or at the university sports office from the respective registration date. Please use the possibility to register via the internet! This will increase your chances of getting a place on the course you want and save you queuing in front of our office.

The fees are paid by direct debit.
Fees charged to Hochschulsport by the user's financial institution for any returned direct debits will be passed on to the user and collected with the original fee when the next direct debit is made.

Registrations by telephone or e-mail cannot be accepted.

The full course fee must also be paid for registrations after the first course date.

The written confirmation of registration must be brought along for participation in courses requiring registration.


Data protection information

Personal data will be collected and processed when you register for university sporting activities that require registration.

If you do not agree to the provision of this data, you will not be able to participate in these university sports activities.

Price structure

In our course announcements, the prices for students are at the front, those for staff in the middle and those for non-university staff behind, e.g. 25,00/28,00/31,50 €.


Withdrawal and cancellation policy

It is generally not possible to cancel registrations. A refund of course fees is also generally not possible!

Cancellation of booked services is only possible in justified and proven exceptional cases. If no special cancellation regulations are stated in the respective course offers, the following general regulation applies:
From the start of the course, there is only a right to a refund if a medical certificate or, for example, a rescheduling of the course by a lecturer (certified in writing) is available.

The refund is made in one process for all dates of a programme period (e.g. summer semester or spring semester break programme). The refund can be applied for within a period of 4 weeks after the last day of the relevant programme period using the refund form. No reimbursement is possible after this deadline. Course cancellation

If a course does not reach the minimum number of participants, the course will usually be cancelled. A refund will then be made to the registered participants via a refund form which must be completed and signed by the participant.

The cancellation of an event does not lead to any recourse claims.

 

Who is insured?

Members of the University of Oldenburg and the cooperating universities are insured in most cases through the statutory accident insurance when participating in university sports. Where this does not apply (see below), the student's own accident or health insurance usually takes over.

The Landesunfallkasse (State Accident Insurance Fund), as the service provider for statutory accident insurance at universities, defines the prerequisites for insurance within the scope of university sports as follows:

"The optional participation of students in general university sports is to be considered insured if the following conditions are met:

- The sports offered at the universities must have the character of official university events.

- The general university sport must be carried out by the university itself (e.g. University Institute for Physical Education) or a university-related institution (e.g. ASTA).

- The sporting activity must take place within the organised exercise programme, i.e. during the set times and under the direction of an appointed exercise instructor.

Free sporting activity outside of the organised exercise programme on the university sports facilities (e.g. free play groups, free tennis, individual training in fitness studios) is not insured, nor is competitive sporting activity in university or other sports clubs. The mere placement of students with clubs or organisers offering special sports such as horseback riding, windsurfing, surfing, skiing, water skiing or diving is also uninsured.

If the events offered in the sports programme of the sports centres are events that predominantly serve private leisure activities (e.g. trips abroad), the statutory accident insurance cover may not apply. Likewise, as a rule, there is no statutory accident insurance cover for competitions in the field of top-level and competitive sport.

University employees are only insured when participating in university sports if the special requirements of company sports are also met (compensatory nature of the sport, regularity, company-related nature of the organisation and the group of participants, no competitive sport). Guests (non-university members) of the sports centres are not insured.

Non-university members are insured through their own accident or health insurance.

 

Accident reports

After an accident, all university members must submit a so-called "accident report" for their own protection! The forms are available from the sports officers in Uhlhornsweg, in our office and HERE. We will also help you fill out the form at the office. The report should be made as soon as possible after the accident. As external guests are not insured through the state accident insurance fund, the accident report is not required.


Scope of insurance

Insurance cover only applies to bodily injury, not to property damage (e.g. glasses or similar).
